W2P Solution print order workflow: from payment to a production queue

In a W2P Solution store, a paid order gets a print-ready PDF for each order line, a stored copy with a checksum and trim and bleed boxes, and a place in a production queue. The operator moves the status forward and the buyer receives the store's own branded emails. Preflight of uploaded files and system connections are not included.

What happens to an order between payment and the press?

W2P Solution is a white-label web-to-print store platform from Netbase JSC, offered in three editions: Retail, B2B Procurement and Marketplace. Every edition includes the features listed for it, and the order path described here is the part that sits between a buyer's payment and your press room.

For every paid order, the store obtains a print-ready PDF for each order line, keeps its own copy of that file with a checksum and trim and bleed boxes, and places the order in a production queue. In that queue the operator moves the order status forward, and the buyer receives the store's own emails as it moves.

How does an order move through the store?

The path is the same for every print line in the basket:

  1. The buyer designs and checks out

The buyer personalises the product in the online product designer and sees the price from the print price calculator before paying through the store's hosted-payment checkout.

  2. The order is released

In Retail and Marketplace, payment releases the order. In B2B Procurement, the order waits until the approval chain releases it, as set out on the B2B Procurement page.

  3. A print-ready PDF is obtained for each order line

  4. The store keeps its own copy

Each PDF is stored with a checksum, so the file can be verified later, and with trim and bleed boxes (TrimBox and BleedBox), so the press-side team can read where the cut line and the bleed sit.

  5. The order enters the production queue

The operator sees it there with its current status.

  6. The operator moves the status forward

Generic stages such as received, in production and shipped are typical, and the operator decides when each change is made.

  7. The buyer is told

The store sends its own emails under the merchant's brand, not W2P's, as the status changes.

Do I get a print-ready file I can send to the press?

Yes. The file is produced by the store at the moment the order is released, and the store's own copy is the one to produce from. The checksum shows whether the stored file has changed, and the trim and bleed boxes carry the page geometry inside the PDF itself. For background on what a press expects from a file, read print-ready PDF requirements.

This page does not claim a particular PDF standard, and the plan does not run automated preflight on files a buyer uploads. The operator remains responsible for judging whether a given file suits the press and the stock.

Where do I track production and who sees the status?

Production is tracked in the store's production queue, which is part of every edition's feature list. The store's own status is the authoritative one: there is no second system to reconcile it against. The operator changes it, the buyer's emails follow it, and a cancelled order is withdrawn from production rather than left in the queue.

Print files and order records stay in the store's own isolated storage. Every W2P Solution store runs as its own isolated instance with its own database and storage, with managed backups and automatic upgrades. In the Marketplace edition, orders are also split and routed to the right vendor, with print-ready files kept per vendor.

How does the included workflow compare with commissioned automation?

The plan covers a fixed order-to-production path. Anything that connects that path to the rest of your business is commissioned work, delivered as the print production workflow automation service.

How does the included workflow compare with commissioned automation?
Question Included in the W2P Solution plan Commissioned workflow automation
Print-ready PDF for each order line Yes, with a stored copy, checksum, trim and bleed boxes Extended to your own file rules
Production queue and status Yes, moved by the operator Can drive status from your own systems
Automated preflight of uploaded files Not included Scoped as part of the build
Imposition Not included Scoped as part of the build
MIS, ERP or JDF connection Not included Scoped case by case
Who sets it up The Netbase team, with the store A scoped engineering project

If you run an existing press floor with its own job tickets or management information system, the plan will not connect to it. Describe the connection you need in a project brief and it can be scoped as a service.

What product types does it cover?

The first release of W2P Solution supports flat print products such as cards, flyers and posters. Further product types are planned and are not part of the current plans, so this order path should be judged against flat print only.

Key takeaways

  • A paid order gets a print-ready PDF for each order line, stored by the store with a checksum and trim and bleed boxes.
  • Orders enter a production queue where the operator moves the status and the buyer receives branded emails.
  • The store's own status is the authoritative one, and a cancelled order is withdrawn from production.
  • Preflight, imposition and MIS, ERP or JDF connections are not in the plan; they are commissioned work.
  • The first release covers flat print products such as cards, flyers and posters.

Frequently asked questions

Does the store check uploaded artwork automatically?

No. Automated preflight of uploaded files is not part of the subscription. The operator reviews files, and checks beyond that can be scoped as a service.

Can I see where an order is in production?

Yes. The production queue shows each order with its status, which the operator moves forward. The buyer receives the store's own emails as the status changes.

What happens if an order is cancelled?

A cancelled order is withdrawn from production, so it does not sit in the queue waiting to be printed.

Does it connect to my existing MIS or ERP?

Not in the plan. A connection to a management information system, an ERP or JDF-based tooling is commissioned work, described on the print production workflow automation service page.

Are the emails sent under W2P branding?

No. The store is white-label, and the emails come from the store under the merchant's own brand.
